Let us pay attention to the standards in accordance with which orders for employee leave are issued. All relevant documents should be drawn up according to the existing template. An employee of the personnel department or any other authorized person fills out the order form. Then the form must be submitted for approval. For a document to be valid, it must be certified by the signature of the head of the organization or department.

Important! When the order has already been approved, the employee also signs. You should also enter information about the vacation into the employee’s personal card. Data is entered based on the order. Also, no later than three days before the first day of vacation, payments must be made, if any.

How to write an order correctly

Now we will look in detail at how to correctly compose an order. First of all, the date of preparation is indicated, you need to write down the number of this official document, enter the name of the organization or department.

Orders begin with the wording “provide leave.” It is indicated who exactly goes on vacation. In the dative case the surname, first name, and patronymic of the employee are written. For example: Vakhrusheva Maria Nikolaevna. Then, in the appropriate fields, write down the name of the department and the position held by the employee. Indicate his specialty, profession. If you use the personal card of a working citizen as a sample, all information will be as accurate as possible.

Then you need to pay attention to the line where the specific working period is indicated. Lines A, B, C should be filled out in accordance with the type of vacation planned. We have the Labor Code of the Russian Federation. According to it, any employee has the opportunity to rest every year, while receiving monetary compensation, for 28 calendar days. The issue is resolved by the manager individually if the employee has not worked for 12 months. For example, bosses are often ready to give their subordinates paid time off if they have worked for at least 6 months. Then this must be indicated under the letter B. In our example, the most common option is annual basic paid leave (letter A).

Then all that remains is to sign the document. The order is certified with signatures not only by the manager, but also by the employee himself. The document is sent to the accounting department, human resources department, so it must be executed in two copies.

Registration of leave when wages are not maintained

It is very important to issue such an order correctly, since it plays a big role not only for reporting, but also for accounting. It is necessary to confirm that the employee is going on vacation on his own initiative and agrees to take a vacation at his own expense. In this case, the average salary is not paid, that is, the organization does not need to compensate for downtime.

It is worth noting that it is advisable for organizations to protect themselves in advance from the likely claims of employees. It is important to have adequate proof that the employee voluntarily asked for unpaid leave. Experts advise thinking about the employee’s application form. Some companies practice filling out applications for unpaid leave on forms that have already been developed and printed. And the employee only has to sign the finished document. This is not a very good solution. Sometimes problems arise with such statements in the future, and employees file claims for compensation for downtime and moral damages, citing the invalidity of the statement. A signature is easy to forge, but it is more difficult to verify and confirm its authenticity.

What should management do? The best option is to ask employees to write an application for unpaid leave in their own hand. Such a document is already a more reliable confirmation, since the examination will accurately determine its author from the rather large handwritten text.

Please note that leave at your own expense can be provided simply at will, as well as for any valid reasons. When an order is issued, it must be written in column B: rest is provided, but payments and salary retention are not provided.

Order for maternity leave

Remember that here it is also extremely important to correctly fill out the order. A pregnant employee not only gets the opportunity to rest in accordance with it, but also has the right to monetary compensation. This right is regulated by the Labor Code of the Russian Federation.

The very fact of pregnancy, the upcoming birth of a child is not yet a reason for rest, because everything must be officially confirmed, a corresponding application must be registered, and an order must be issued.

An order for the leave of a pregnant woman is drawn up in form T-6 based on a set of papers. The expectant mother must first submit an application in which she asks to be given maternity leave and to receive cash payments. An official document indicating the planned date of birth of the child is also required.

A woman gets the opportunity to go on vacation 70 calendar days before the expected date of birth of the child.

You need a corresponding certificate from a medical institution - a antenatal clinic, as well as a certificate of incapacity for work. Any expectant mother will receive such documents without any problems at the institution where her pregnancy is being carried out.

Let's consider a few important points. Pay attention to the name of the vacation. It is customary to call it maternity leave, but you need to use the official name given in the Labor Code: maternity leave.

Then you need to indicate the duration of the vacation. When a woman is pregnant with two or more children, complications arise, it is 192 days. In this case, the standard maternity leave period is most often used - 140 days. Be sure to indicate the start and end date of the vacation.

Often women decide to use the period of annual leave that they have left. You can apply for both vacations in one document T-6. In column A they write about the main leave, and then enter in line B the data about maternity leave, after which in line C they summarize the information about the two periods of rest.

Parental leave in form T-6

A young mother has the opportunity to take a break from work to care for her child. The leave will be paid until the child is one and a half years old. The right to take leave at your own expense remains for up to three years. Payments are not due for one and a half years.

Point B is filled in. The last, first day of rest is reflected, the total period is indicated in calendar days.

It is important to ensure that supporting documents are provided.

The child's birth certificate must be submitted. You need a document from the place where the spouse works that he did not receive appropriate leave to care for a child.

When both parents are not on vacation, the grandparent can arrange the vacation. In this case, documents must be provided from both parents from their places of work to record that they did not use their opportunities to rest and care for the child.

Employees also take out vacations with subsequent dismissal at their own request. The employer has the right to issue monetary compensation for vacation, but not to issue the vacation itself.

It can be obtained for the first time after the employee has worked for at least 6 months at the enterprise. For all other employees there is . The right to annual paid leave allows an employee to receive 2.33 days of rest for each month he works.

This calculation should be carried out from the date of hire of this person. By decision of the company management, vacation can be granted to employees working at the enterprise in advance.

The legislation establishes provisions according to which an employee must take vacation within 1.5 years from the date on which he acquired the right to this vacation. If he is not sent on vacation within the specified time, he burns out, and the organization may be brought to administrative responsibility.

This period is provided in cases directly specified by legislation (for example, in hazardous working conditions), or when this is stipulated in the employment contract.

An order for this type of leave must also be issued. Often this rest period is combined with the main period. Then one order is drawn up, but each period should be written down separately.

Most often, it is issued to an employee based on an application submitted by him on the basis of a decision made by the director of the company. During this period, the employee retains his place of work, but wages are not calculated.

Relevant supporting documents are attached to the application. In this case, issuing an order to grant leave to the employee is also mandatory.

  • Maternity leave.

An employee from the 30th week of pregnancy, if she goes on vacation, is entitled to this leave based on the sick leave provided. The administration is not obliged to draw up an order for it. An application from the employee and her certificate of incapacity for work is sufficient.

  • Parental leave.

This period of time is provided upon application to parents who have children under three years of age. It is issued up to 1.5 years and up to 3 years. Issuing an order to provide it to the company is mandatory, since benefits are paid on the basis of this document.

How long before the vacation is the order issued?

The Labor Code of the Russian Federation does not directly establish time periods for issuing a vacation order. On the other hand, the law establishes the employer’s obligation to notify the employee about the start of his vacation at least two weeks in advance.

The form of such notification can be expressed by a leave order, in which the employee puts his visa in confirmation. If the company uses this method of notification, then the vacation order should be drawn up at least two weeks in advance.

Also, all payments of vacation pay due to the employee must be made no less than three days before the start of the rest period or within three days from the date of application for vacation.

Attention! Since accrual of vacation pay is carried out according to the order, its execution must also be done before these established deadlines.

On what basis is the order issued?

To issue a leave order, an application for leave must be submitted from the employee addressed to the manager. However, it must be remembered that the main vacation can be provided on the basis of the vacation schedule approved for the current year, if this local regulation strictly establishes the start and end dates.

The application for leave must be drawn up by the employee in his own hand. If your company has templates, you can use them only by entering your data in the appropriate fields. If non-primary or additional leave is granted, then copies of supporting documents must be attached to the application.

The vacation schedule is drawn up for the next year at the end of the current year. The legislation requires that it be put into effect at least two weeks before the end of the year. After this, the administration must familiarize each employee with it against signature, and when the start of the rest period approaches, notify him in the appropriate form about this two weeks in advance.

Attention! If leave is granted on the basis of an approved leave schedule within the time limits established by the document, then the employee does not have to write a leave application. The company must send it to the employee before it starts.

To register the rest provided to the employee by the enterprise administration, an order is drawn up. For this purpose, the unified form of vacation order T-6 approved by Rosstat can be used.

But the company, using it as a basis, can develop its own document. Or use a letterhead, where the text of the order will be recorded in free form. In the latter case, the text of the document must contain mandatory details.

The unified form T-6 should contain the name of the business entity at the top, if there are structural divisions, the name of the corresponding department is also recorded here. Next to it is indicated the number assigned to the company upon registration with Rosstat.

In the middle you should write the name of the management order, as well as the serial number assigned when recorded in the order book. The date of the order must be present. These details will be reflected in all related documents in the future.

After this, the period of work for which the employee is granted leave is indicated. This must be done for main and additional vacations.

The year of work that determines the right to leave should be indicated from the date of admission, taking into account previously received leaves, and not from the calendar first. This information is calculated by a personnel specialist based on personnel records.

Then the order in form T-6 is divided into points A, B, C.

Subsection A is used to reflect information on the period of the main vacation. The beginning and end, as well as the duration of the vacation, are reflected here.

Subsection B should be completed when all other types of leave are taken out. Therefore, when starting to fill it out, you need to indicate the name of the leave provided (additional, without pay, child care), and then reflect the start and end dates of this period, as well as the duration of the leave.

Subsection B is final, since it reflects the total duration of all vacations provided to the employee, as well as the beginning and end of the entire rest period. If only the main one is completed, then the information in the subsection simply duplicates the previous entry.

How to issue a vacation order using the T-6a form

Order T-6a is intended for registering leave for several employees at once using one single document. It is a large table in which information about the duration and rest period is entered line by line.

First of all, you need to write down the full name of the company on the form, and separately in the column to the right of the name - the company code according to the OKPO directory.

Next, next to the name of the document you need to put its serial number, and then the date when filling out. Under this number, the order will need to be registered in the order register for the enterprise.

The order of filling the table columns is as follows:

  • Column “1” - indicate your full name. employee;
  • “2” - his personnel number is recorded;
  • “3” – indicate the name of the department or division in which he works;
  • “4” - his position is recorded according to the staffing table;
  • “5” - here you need to enter the number of days of the main vacation. This column is analogous to section “A” from order T-6. If such leave is not currently available, you need to put a dash;
  • “6” - here you need to write down the number of days of additional vacation. This includes leave due to harmful conditions, educational leave, without pay, maternity leave, etc. This column is similar to section “B” of Order T-6. If this kind of leave is not provided, then a dash is entered here.
  • “7” and “8” - the start and end dates of the period for which leave is granted are entered here. For annual leave this will be a working year, for some types of additional leave it will be a calendar year, etc.
  • “9” - this column records the total number of days for which the employee goes on vacation. The number is obtained by adding the number of days from columns 5 and 6.
  • “10” and “11” - the start and end dates of the total rest period are recorded here.
  • “12” - after reading the order, the employee must put a date and personal signature in this column.

After filling out the order, the director of the company signs it, affixing his signature and deciphering it.

How to write a vacation order correctly

The form begins with a header, which indicates that this is “unified form No. T-6,” as well as the name of the organization, document number and date of its preparation. If leave is granted to several employees, then the unified form No. T-6a “Order (instruction) on granting leave to employees” is used. Type of order - form T-6a

Form T-6a is even easier to fill out than form T-6: it is enough to enter data from the personal cards of employees going on vacation at the same time (or with a maximum interval of 2-3 days), indicate the types of vacation, and also indicate the total number of calendar days and general vacation period. Used to draw up a local regulatory act (order) on granting leave to an employee; form No. T-6a is used to draw up leave for a group of employees. The form of this form was approved by Resolution of the State Statistics Committee No. 1 “On approval of unified forms of primary accounting documentation for recording labor and its payment” dated 01/05/2004. Since January 1, 2013, unified forms in the field of personnel accounting are not mandatory forms for enterprises (information of the Ministry of Finance of the Russian Federation No. PZ-10/2012 dated December 4, 2012), however, their use has already become part of business practice and has established itself as a convenient way of collecting and storing information in the field of personnel accounting.

The Labor Code of the Russian Federation regulates the following types of leave:

  • Basic paid leave provided to employees every year (28 days, with the exception of certain categories of employees). Employees engaged in hazardous or hazardous work, employees with a specific nature of work (for example, teachers), and employees of enterprises in the Far North are provided with additional vacation days. The order may indicate several types of vacation with different dates, so next you should indicate the total number of calendar days of vacation and its dates. For example, if an employee goes on annual main paid leave for two weeks, and then takes study leave for three days, then the total amount of leave confirmed by the order will be 17 calendar days from the start date of annual main leave to the end date of educational leave.
